We’re hiring an Office Coordinator in Washington, D.C.
The Office Coordinator is responsible for coordinating the administrative operations of the Bose Public Affairs Group LLC (“BPAG”) Washington office and reports to the Managing Director, Federal Relations. Job responsibilities include the following:
- Provide overall administrative coordination for a fast-moving public affairs firm
- Work with accounting department to coordinate all client contracts, billings, BPAG budget and any other accounting matters
- Enter daily timesheets for timekeepers; submit and finalize weekly timesheets
- Organize and submit expense reimbursement documents to the Accounting Department
- Assist with proofreading, editing and finalizing client billing and invoicing documents
- Manage calendars and schedule meetings
- Make travel arrangements, including conference registrations, hotel and airline reservations
- Daily administrative tasks including preparation of letters, check requests and time
- Serve as liaison to building management personnel on facility-related matters
- Ensure the office suite is organized and presentable for client visits/events
- Monitor and maintain appropriate office supplies
- Greet clients and guests and represent the company in a professional manner at all times
Qualifications/Requirements
- High school diploma required
- BS/BA degree preferred
- 3-5 yrs. experience in accounting, legislative and political work preferred
- Excellent organizational, goal setting, analytical and planning skills
- Demonstrate good judgment and discretion
- Knowledge of the federal lobbying and ethics laws/regulations a plus
- Excellent written and verbal communication skills with the ability to successfully interact with internal and external clients at all levels, including persuasive and technical writing skills
- Generate high-quality work, with exceptional attention to detail and organization
- Successfully manage high expectations working in fast-paced, deadline-oriented environment
- Positive, independent self-starter with ability to think strategically and respond tactically
- Able to work independently in a dynamic, fast-paced environment
- Professional appearance
